JOB SUMMARY:

The position is responsible for coordinating the organization of the administration of Habitat for Humanity Northumberland and overseeing the development and management of HFHN’s communications strategy.

 

The person in this position must have the skill level to manage several databases. They must also be able to manage diverse and complex administrative, communication and organizational tasks with speed, accuracy, discretion and clarity, while always promoting the values that embrace the mission of Habitat for Humanity Northumberland. Finally, they must have marketing, public relations and graphic design experience in order to best promote HFHN to customers, donors and the general public.
 

PRIMARY RESPONSIBILITIES:

 

Communications and Marketing

  • Work with the Executive Director and other Managers to develop and ensure implementation of an annual marketing and communications plan for all HFHN operations;

  • Oversee the execution of the marketing plan including the preparation and distribution of media releases and advertising;

  • Oversee the development of graphic design for HFHN;

  • Prepare and design advertisements including in-house graphic design following Habitat Canada’s brand guidelines;

  • Prepare and oversee the implementation of internal guidelines for physical and digital materials including developing templates and providing support when possible;

  • Provide graphic design and PR/Marketing Support for all HFHN events;

  • Design and produce HFHN’s Annual Report;

  • Oversee the management of HFHN’s online presence including a website and social media;

  • Regularly update HFHN’s online presence including the website and social media pages;

  • Collect and maintain a record of all HFHN media exposure;

Administration

  • Oversee the management of the affiliate office space and ensure a reception function that is efficient, safe and accessible to the public;

  • Oversee the records management plan for all the organization;

  • Support the Executive Director in implementing the records management plan for HFHN;

  • Support the Executive Director in ensuring that all the equipment and supplies in the office are available for staff and volunteers;

  • Provide general affiliate administration support including managing the mail, answering the telephone, answering general HFHN inquiries, day to day banking, and invoice management including accounts payable;

  • Support the Executive Director in overseeing HFHN’s IT management system;

  • Oversee HFHN’s donor management system including issuing and reconciling HFHN’s tax receipts and thank you cards to donors;

  • Provide reception services for HFHN during set hours;

 

General Affiliate Support:

  • Submit monthly reports to the Executive Director;

  • Assist with or complete any other such projects or tasks as may be assigned from the Executive Director, from time to time;

  • Other, as required; and

  • Work week will require flexibility of schedule as some activities occur in the evening or on weekends.

Qualifications:

  • Strong people skills;

  • Computer and graphic design skills;

  • Marketing and public relations skills and experience;

  • Administrative experience and skills;

  • Excellent communication skills, especially written communication;

  • Ability to work independently and as part of a team;

  • Access to a vehicle;

  • Ability to work flexible hours – some nights and weekends; and

  • Commitment to the mission of Habitat for Humanity Northumberland and representing that mission within the community.
